Refund Policy
Last updated: June 5, 2025
At Build. Integrate. Train. ("B.I.T.," "We," "Us"), we are committed to client satisfaction and delivering high-quality digital products and consulting services. This Refund Policy outlines the conditions under which refunds may be issued for our services and digital products. By engaging with our services or purchasing our products, you ("Client," "You") agree to this policy.
1. General Principles
Refunds are considered on a case-by-case basis and are subject to the specific terms outlined herein and in any governing Statement of Work (SOW), proposal or service agreement.
Our primary goal is to resolve any issues to your satisfaction, which may include remedies other than a refund, such as additional work, revised deliverables, or service credits.
Work already performed or expenses incurred by B.I.T. are generally non-refundable.
2. Refund Eligibility by Service/Product Type
Our refund policy varies depending on the type of service or product purchased:
2.1. Software Consulting & Custom Development Services (e.g., Business Systemization, Software/Digital Business Transformation, Integration Services)
Deposits & Retainers: Initial deposits or retainers for consulting and custom development projects are generally non-refundable, as they cover initial project planning, resource allocation, and preliminary work. Any exception will be explicitly stated in your Statement of Work (SOW).
Milestone Payments: Payments tied to specific project milestones are typically considered earned upon the successful completion and Client acceptance of that milestone, as defined in the SOW.
Refunds for Incomplete Milestones: If a project is terminated by the Client before a milestone is completed, B.I.T. will assess the work performed up to the termination date. Any payment received for that specific, incomplete milestone, beyond the pro-rated value of work performed and expenses incurred, may be considered for a partial refund or service credit at B.I.T.'s sole discretion.
Failure to Meet Specifications: If B.I.T. fails to deliver a milestone or final deliverable substantially in accordance with the agreed-upon specifications in the SOW (and after reasonable attempts to rectify the issue during any agreed-upon warranty period), the Client may be entitled to a refund for the portion of the payment specifically allocated to that non-conforming deliverable, following our dispute resolution process.
Hourly Consulting Services: Funds paid for hourly consulting are generally non-refundable once the hours have been utilized. For pre-paid, unused hourly blocks, a refund may be issued for the remaining unused hours, less any administrative fees, upon written request.
2.2. Digital Products & Cloud Software Subscriptions (through Third Parties)
One-Time Fees for Digital Products: Refunds for one-time purchases of digital products (e.g., downloadable templates, guides) are generally not offered once the product has been accessed or downloaded, due to the nature of digital goods. Any exceptions will be clearly noted on the product sales page.
Cloud Software Subscriptions:
New Subscriptions: For initial subscriptions to cloud software provided through B.I.T., a refund may be available if canceled within 7 days of the initial subscription purchase date, provided you have not extensively used the service or downloaded significant data.
Automatic Renewals: As stated in our Terms and Conditions, your subscription will automatically renew. If you do not wish to renew, you must inform us at least fourteen (14) days prior to the renewal date. No refunds will be provided for automatic renewals if cancellation notification is not received within this timeframe.
Mid-Term Cancellations: We generally do not offer pro-rata refunds for the unused portion of a subscription period if you cancel mid-term. Your access to the service will continue until the end of your current paid billing cycle.
Free Trials: Free trials are provided to evaluate the service. No refunds are applicable after converting from a free trial to a paid subscription, outside of the initial new subscription period mentioned above.
2.3. Training & Workshops
Cancellation by Client:
Cancellations made 30 or more days before the scheduled training/workshop date may be eligible for a full refund or a credit towards a future session.
Cancellations made less than 30 days before the scheduled date may result in a partial refund or no refund, as our resources and instructors are already allocated. A credit for a future session may be offered at our discretion.
No-Shows: No refunds will be issued for no-shows.
Cancellation by B.I.T.: If B.I.T. cancels a training session or workshop, participants will receive a full refund or the option to transfer their registration to a future session.
3. Non-Refundable Circumstances
Refunds will generally not be issued under the following circumstances:
Work or services already performed and delivered.
Third-party costs, licensing fees, or expenses incurred by B.I.T. on your behalf (e.g., software licenses, stock photos, domain registrations).
Delays or issues caused by the Client's failure to provide timely information, access, feedback, or cooperation.
Changes in Client requirements or scope after an SOW has been agreed upon and work has commenced (these should be handled via a Change Order process).
Termination of services due to the Client's breach of our Terms and Conditions.
Client's change of mind or business strategy unrelated to B.I.T.'s performance.
4. Refund Request Process
To request a refund, please send a written request to billing@buildintegratetrain.app and include the following information:
Your Full Name / Company Name
Service/Product Purchased
Invoice Number or Order ID
Date of Purchase/Service Commencement
Detailed reason for the refund request
Any supporting documentation
B.I.T. will review your request within 7-10 business days and notify you of the approval or rejection of your refund.
5. Refund Disbursement
Approved refunds will be processed within 10-15 business days of approval. Refunds will be issued via the original method of payment, where possible. If the original payment method is unavailable, an alternative method will be arranged. Please be aware your original method of payment may take 7 or more days to deposit your refund.
6. Dispute Resolution
Any disputes related to refund requests will be handled in accordance with the "Arbitration" and "Governing Law" clauses outlined in our main Terms and Conditions.
7. Changes to This Refund Policy
B.I.T. reserves the right to modify this Refund Policy at any time. The most current version will always be posted on our website. We encourage you to review this policy periodically to stay informed of our updates.
